Terms of Use

1. Service Description & Who These Terms Bind

White Coat World (“the Platform”) is a pre-health admissions guidance tool that provides AI-generated gap analysis, school matching, personal statement assistance, mentorship matching, and advisor collaboration features for students applying to dental, medical, PA, optometry, pharmacy, nursing, veterinary, and physical therapy programs.

These Terms apply to every account type — pre-health students, health students, health professionals, faculty and advisors, pre-health schools, health schools, healthcare organizations, volunteer organizations, and administrators. By creating an account or accessing the Platform, you agree to these Terms of Use and our Privacy Policy.

Some account types accept an additional addendum covering obligations specific to that role — the Faculty & Advisor Addendum for faculty accounts, and the Institutional Account Addendum for school and organization accounts. Where an addendum you have accepted conflicts with these Terms, the addendum controls for that account type. The record of which documents you accepted, in which version and when, is retained as described in Section 12.

2. No Professional Advising Relationship

White Coat World is not a licensed academic advising service. Content generated by this Platform — including gap analysis reports, school recommendations, and writing assistance — is for informational and planning purposes only.

Nothing on this Platform constitutes professional academic advising, legal counsel, medical advice, or a guarantee of admissions outcomes. Always consult your university's pre-health advisor and the official requirements of each program to which you apply.

Mentorship and peer guidance exchanged through the Platform is the personal view of the individual offering it, not advice from White Coat World. Mentors, faculty, and other users speak for themselves; White Coat World does not adopt, verify, or warrant what they say.

3. AI Usage & Academic Integrity

AADSAS, AMCAS, AACOMAS, and other application services require applicants to certify that all submitted content represents their own work. By using White Coat World's AI writing assistance features, you acknowledge and agree that:

  • The Platform's AI coaches your writing and does not draft it. It asks questions, identifies weaknesses, and points you back at your own logged experiences. The full commitment, including how it is enforced, is set out in the AI Use Agreement.
  • You are solely responsible for reviewing everything you submit and for ensuring it authentically represents your experiences and voice.
  • You must be able to honestly sign your application service's applicant agreement certifying that your work is your own.
  • White Coat World is not responsible for any application service decisions, honor code violations, or other consequences arising from how you use the Platform's output.

4. Institutional Use & FERPA

Universities, colleges, and other institutions may partner with White Coat World to provide advisor access to their students' profiles. Under this arrangement:

  • White Coat World acts as a School Official under FERPA (34 CFR § 99.31(a)(1)(i)(B)) and accesses student education records only in furtherance of a legitimate educational interest, under the institution's direct control, and without redisclosure except as permitted by 34 CFR § 99.33.
  • Student participation in institutional sharing is entirely voluntary. Students grant and revoke consent from their account settings at any time. Advisors lose access immediately upon revocation.
  • Institutions that enter into a Data Processing Agreement with White Coat World may request a FERPA addendum establishing the legal basis for data sharing with their advisors.
  • Faculty and advisor accounts must be registered with a verified institutional email address and approved by White Coat World administrators before they may access student data.

5. Acceptable Use

Your use of the Platform is governed by the Acceptable Use Policy, which forms part of these Terms. In summary, you agree not to:

  • Submit false, fraudulent, or fabricated academic credentials or experiences.
  • Attempt to access another user's account or data.
  • Probe, scan, or test the vulnerability of the Platform without prior written authorization.
  • Use automated scripts, bots, or scrapers to extract data from the Platform.
  • Upload malware, viruses, or any code designed to disrupt or harm the Platform.
  • Reverse-engineer any portion of the Platform or its AI models.
  • Harass, impersonate, threaten, or endanger any other user.
  • Create an account if you are under 16 years of age, or use the Platform to process data of individuals under 13 years of age.

6. Zero-Advertisement Commitment

White Coat World is ad-free at launch. We do not display advertisements, load third-party tracking pixels, or participate in advertising networks on any page of the Platform. If our revenue model ever changes, we will give clear advance notice and update these Terms before any change takes effect.

7. Intellectual Property & Data Ownership

7a. Your Academic Content

Transcripts, GPA data, personal statement drafts, experience descriptions, and other academic materials you upload or enter (“Your Academic Content”) remain your property. You grant White Coat World a limited, non-exclusive, revocable licence to process, store, and display Your Academic Content solely to provide the services described in these Terms. This licence terminates when you delete your account. White Coat World claims no ownership of Your Academic Content and does not sell, license, or use it to train or fine-tune AI models.

7b. Feedback, Suggestions & Ideas — Full IP Assignment

Any feedback, suggestions, feature requests, ideas, or other submissions you send through the feedback form, contact page, in-app widget, or any other channel (“Feedback”) are voluntarily given. You hereby irrevocably assign to White Coat World all right, title, and interest — including all intellectual property rights — in and to any Feedback. White Coat World may use, reproduce, modify, adapt, publish, create derivative works from, and incorporate Feedback into its products and services without restriction, attribution, or compensation. You waive any moral rights in such Feedback to the fullest extent permitted by applicable law. Feedback means commentary about the Platform; it does not include Your Academic Content, which is governed by Section 7a.

7c. Platform IP

The Platform's software, design, benchmark data compilations, AI prompt architecture, branding, and all other original works created by White Coat World remain the exclusive intellectual property of White Coat World and its operators. White Coat World is owned solely by Elias James Woodbury. Nothing in these Terms, and no participation in any beta, pilot, advisory, or mentorship capacity, grants you any ownership interest, equity, partnership, joint venture, employment relationship, or co-authorship claim in the Platform.

7d. Institutional Records & Education Records

Where a student is affiliated with a partner institution, the institution is the data controller and the FERPA record owner of that student's education records, and White Coat World processes those records only as a processor and School Official acting on the institution's documented instructions under the applicable Data Processing Agreement. White Coat World asserts no ownership of education records and does not acquire ownership of student data by virtue of processing it. On termination of an institutional agreement, White Coat World will return or delete the institution's records as directed by the institution. Nothing in Section 7b or anywhere else in these Terms operates to transfer ownership of education records or of Your Academic Content to White Coat World.

8. Disclaimer of Warranties (“As-Is”)

THE PLATFORM IS PROVIDED “AS IS” AND “AS AVAILABLE” WITHOUT WARRANTY OF ANY KIND, EXPRESS OR IMPLIED.

To the fullest extent permitted by applicable law, White Coat World and its operators expressly disclaim all warranties, including but not limited to: (a) implied warranties of merchantability, fitness for a particular purpose, and non-infringement; (b) any warranty that the Platform will be uninterrupted, error-free, or free of viruses or other harmful components; (c) any warranty regarding the accuracy, completeness, or reliability of AI-generated gap analyses, school recommendations, personal statement drafts, or benchmark statistics; (d) any warranty regarding statements made by other users, mentors, or advisors on the Platform; and (e) any warranty that use of the Platform will result in admission to any educational program.

Benchmark and acceptance data is compiled from publicly available and user-contributed sources and may not reflect current admissions cycle statistics. You assume all risk associated with reliance on Platform output.

9. Limitation of Liability

TO THE FULLEST EXTENT PERMITTED BY LAW, IN NO EVENT SHALL WHITE COAT WORLD, ITS OWNER ELIAS JAMES WOODBURY, OR ANY OF ITS OFFICERS, EMPLOYEES, AGENTS, OR AFFILIATES BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES — INCLUDING LOST PROFITS, LOST DATA, LOSS OF GOODWILL, OR COSTS OF SUBSTITUTE SERVICES — ARISING OUT OF OR IN CONNECTION WITH YOUR USE OF OR INABILITY TO USE THE PLATFORM, EVEN IF ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.

Cap on Damages. In no event shall White Coat World's total cumulative liability to you for all claims arising from or related to these Terms or your use of the Platform exceed the greater of: (i) the total fees you paid to White Coat World in the twelve (12) months immediately preceding the claim, or (ii) one hundred U.S. dollars (US $100.00).

Institutional accounts. The US $100.00 floor above is a consumer term and does not apply to institutional accounts. See Section 11f, which also governs which arbitration rules apply and confirms that a separate signed agreement with your institution controls over these Terms wherever the two conflict.

Some jurisdictions do not allow the exclusion or limitation of certain damages. In such jurisdictions, White Coat World's liability is limited to the maximum extent permitted by law.

10. Indemnification

You agree to defend, indemnify, and hold harmless White Coat World, its owner Elias James Woodbury, and its officers, employees, agents, and affiliates from and against any and all claims, damages, losses, liabilities, costs, and expenses (including reasonable attorneys' fees) arising out of or relating to:

  • your use of or access to the Platform;
  • your violation of these Terms, any addendum you accepted, or any applicable law or regulation;
  • your violation of any third-party right, including any intellectual property right or privacy right;
  • any content you submit, post, or transmit through the Platform;
  • any dispute between you and a third party (including any application service, school, organization, mentor, or advisor); or
  • any misrepresentation made by you.

White Coat World reserves the right to assume exclusive defense and control of any matter subject to indemnification by you, at your expense, and you agree to cooperate with White Coat World's defense of such claims.

Where you accept these Terms on behalf of a public institution whose ability to indemnify is restricted by law, this Section applies only to the extent permitted by the law governing that institution.

11. Dispute Resolution — Mandatory Arbitration & Class Action Waiver

11a. Informal Resolution First

Before filing any formal dispute, you agree to contact White Coat World at legal@whitecoatworld.com and attempt to resolve the dispute informally for at least thirty (30) days.

11b. Binding Arbitration

If informal resolution fails, any dispute, claim, or controversy arising out of or relating to these Terms or your use of the Platform — including questions of arbitrability — shall be resolved by final and binding arbitration administered by the American Arbitration Association (“AAA”) under its Consumer Arbitration Rules. The arbitration shall be conducted in English. The arbitrator's award shall be final and binding and may be entered as a judgment in any court of competent jurisdiction.

Exception: Either party may seek injunctive or other equitable relief in a court of competent jurisdiction to prevent irreparable harm pending arbitration. Claims within the jurisdiction of a small claims court are also excluded from mandatory arbitration.

11c. Class Action Waiver

YOU AND WHITE COAT WORLD EACH WAIVE THE RIGHT TO A TRIAL BY JURY AND THE RIGHT TO PARTICIPATE IN A CLASS ACTION, CLASS ARBITRATION, PRIVATE ATTORNEY GENERAL ACTION, OR OTHER REPRESENTATIVE PROCEEDING OF ANY KIND. ALL DISPUTES MUST BE BROUGHT IN YOUR INDIVIDUAL CAPACITY AND NOT AS A PLAINTIFF OR CLASS MEMBER IN ANY PURPORTED CLASS OR REPRESENTATIVE PROCEEDING.

If a court finds the class action waiver unenforceable, that portion alone shall be severed and the remainder of this Section 11 shall remain in full force and effect.

11d. Governing Law & Venue

These Terms are governed by the laws of the State of Nevada, without regard to its conflict-of-laws principles. For any claims not subject to arbitration, you consent to exclusive jurisdiction and venue in the state and federal courts located in Nevada.

Public institutions. Where you accept these Terms on behalf of a public institution that is prohibited by law from agreeing to binding arbitration, a class-action waiver, or a foreign governing law, those provisions do not apply to that institution, and disputes are instead resolved as set out in the institution's signed agreement with White Coat World. The remainder of these Terms continues to apply.

11e. Time Limit on Claims

Any claim arising from or relating to these Terms or your use of the Platform must be brought within one (1) year after the claim arises. Claims not brought within this period are permanently barred.

11f. Institutional Accounts

Sections 11b through 11e are written for individual users, and the AAA Consumer Arbitration Rules referenced in 11b apply only to individuals. If your account is an institutional account — a school, pre-health program, healthcare organization, or volunteer organization — the following applies instead:

  • Arbitration under 11b is administered under the AAA Commercial Arbitration Rules rather than the Consumer Arbitration Rules.
  • The US $100.00 floor in the cap on damages (Section 9) does not apply. Our cumulative liability to an institution is limited to the fees that institution paid us in the twelve (12) months immediately preceding the claim.
  • The class action waiver in 11c, the governing law and venue in 11d, and the one-year limit in 11e apply unchanged.

A signed agreement controls. If you accept these Terms on behalf of an institution that has entered into a separate written agreement with White Coat World — a services agreement, order form, Data Processing Agreement, or FERPA addendum — that written agreement supersedes these Terms to the extent of any conflict, including on pricing, liability, dispute resolution, data handling, and term and termination. These Terms continue to govern anything the written agreement does not address. Nothing in these Terms is intended to narrow a commitment we have made to your institution in a document we both signed.

12. Termination, Deletion & What Survives

We reserve the right to suspend or terminate accounts that violate these Terms. You may delete your account at any time from Settings → Privacy. Upon deletion, your account data is permanently and irreversibly removed from our systems. See our Privacy Policy for the full data retention and disposal schedule.

One narrow exception. The record that you accepted a legal agreement — which document, which version, when, and a cryptographic digest of the published document — is retained after deletion, with your IP address and browser details stripped from it. We keep it because the obligations in Sections 9, 10, and 11 survive termination, and a record of agreement is meaningless if it disappears the moment a dispute becomes likely. It is the minimum needed to establish that an agreement was formed, it is never used for any other purpose, and it is not used to re-identify you.

Backups. Deletion removes your data from our live systems immediately. Encrypted database backups used for disaster recovery age out on their own schedule — currently up to seven days — after which no copy remains. We never restore a backup to bring back a deleted account.

Sections 7b, 7c, 7d, 8, 9, 10, 11, 14b, 14c, and this Section 12 survive termination of your account and of these Terms.

13. Changes to Terms

We may update these Terms to reflect changes in our services or legal requirements. Material changes will be announced via a notice on the Platform at least 14 days before taking effect, and you will be required to accept the updated Terms in the app before continuing to use the Platform. Each document carries its own version, and the version you accepted, when you accepted it, and a digest of the published document are recorded against your account. For minor, non-material changes, continued use after the effective date constitutes acceptance.

14. Beta & Pilot Programs

14a. Who This Section Applies To

This Section applies only to individuals who have been invited to and have accepted a place in a closed beta or pilot program. Creating an ordinary account does not make you a Beta Tester and does not make you a volunteer. Beta Testers evaluate the Platform's usability, report bugs, and provide feedback. Participation does not constitute employment, co-authorship, partnership, joint venture, or any equity or ownership interest in the Platform, its intellectual property, or White Coat World or its operators.

14b. Beta Feedback — Full IP Assignment

All bug reports, UX observations, feature ideas, written feedback, or any other communication submitted by Beta Testers through any channel — including but not limited to in-app forms, email, messaging apps, verbal conversation, or screen recordings — are deemed “Feedback” as defined in Section 7b and are subject to the full irrevocable IP assignment described therein. Beta Testers acquire no intellectual property rights, credits, or ownership claims arising from their participation. This does not extend to Your Academic Content, which remains yours under Section 7a.

14c. Confidentiality

Beta Testers agree to keep confidential all non-public features, data structures, UI designs, AI behavior, and technical implementation details observed during the beta period. Beta Testers may not: (i) share screenshots, screen recordings, or descriptions of unreleased features on social media or public forums; (ii) attempt to reverse-engineer the Platform's AI prompts, scoring algorithms, or transcript parsing logic; or (iii) disclose beta access credentials to third parties. This confidentiality obligation survives termination of beta access.

14d. Volunteer Experience Verification

White Coat World may issue written confirmation letters to Beta Testers documenting their participation for academic purposes (e.g., pre-health application research or volunteer hours). Such letters describe the tester's role as “Beta Testing and User Experience Research” and explicitly do not confer any ownership, employment, or partnership status with respect to the Platform.

15. General

If any provision of these Terms is held unenforceable, that provision is severed and the remainder stays in force. Our failure to enforce any provision is not a waiver of it. You may not assign these Terms; we may assign them in connection with a merger, acquisition, or sale of assets, on notice to you. These Terms, together with the Privacy Policy, the Acceptable Use Policy, the AI Use Agreement, and any addendum applicable to your account type, are the entire agreement between you and White Coat World on their subject matter — subject to Section 11f, under which a separate signed institutional agreement controls over these Terms wherever the two conflict.

Electronic records and signatures. You consent to transact with us electronically. Your acceptance of these Terms and of any other document presented to you in the Platform is given by clicking to agree, and that click has the same legal effect as a handwritten signature. We record which document and version you accepted, when, and a cryptographic digest of the published text; that record is the writing evidencing the agreement. You may withdraw consent to transact electronically only by closing your account, because the Platform has no non-electronic means of delivering these documents. You may request a copy of any agreement you accepted by writing to the address below.

Notices. We give you legal notice by email to the address on your account, or by a conspicuous notice in the Platform; either is effective when sent or posted. Keeping your email address current is your responsibility. You give us legal notice by email to legal@whitecoatworld.com, effective on receipt.

Force majeure. Neither party is liable for any delay or failure to perform caused by events beyond its reasonable control, including natural disasters, war, terrorism, civil unrest, labor disputes, epidemics, government action, or failures of power, internet, or third-party infrastructure providers. This does not excuse any obligation to pay amounts already due, and it does not extend to our obligations to safeguard and, on request, return or delete student data.
